We are very excited to have the opportunity to provide a fun, safe and exciting camping experience for your camper this summer! I wanted to take this opportunity to share some information with you that will make the check-in and check-out procedures at camp as simple as possible. At camp we subscribe to the highest ideals of safety and security. Please, take a moment to read through this letter to familiarize yourself with all of the information.

In this packet you will find the forms (listed below) that need to be completed and brought with you to camp on the day of the pool party. Please DO NOT mail these forms ahead of time. Here is a helpful list for you:

CHECK-IN PROCEDURES

Campers are to be dropped off in the baggage parking lot, starting at 9:30 a.m. There the staff members assigned to this program will greet you. All forms will be collected at that time. Any forms that are missing will have to be filled out on that morning before a parent can leave. If your child is arriving with someone else please make sure that all forms are complete.

Groups arriving together will park in the main parking lot or the overflow parking lot and check in with the staff person in the main parking lot

CHECK-OUT PROCEDURES

CHECK OUT at 2:00 p.m. in the main parking lot. We ask any adult picking up a camper to park in either the main parking lot or overflow parking lots at the front of camp and wait their for their campers to arrive.

The check-out procedures are for your safety and the safety of the campers. It is important to understand how it will affect you. At the pick up spot the Designated Driver releases will be checked as well as the adult’s picture identification. Once their identification has been checked and confirmed they will be able to remove the camper from the area. Any adult arriving who is not on the release form (this includes the parents) or without proper identification will not be allowed to pick up the camper.

LUNCH

We will be providing lunch during this program. It will be a picnic style lunch with sandwiches, fruit, veggies, drink and other items. If the participant has food allergies please contact the Camp Libbey office at 419-784-5888 or 800-356-1447 (Ohio only) as soon as possible.

WHAT TO BRING

Participants should pack all of their items into a backpack or duffel bag to avoid loosing items. Each participant needs to bring the following items:

• Swimming Suit (no swimming in shorts & T-shirt instead of suit – You may wear a t-shirt over a swim suit )
• T-Shirt for cover
• Beach Towel
• Change of clothes for after swimming
• Shower Shoes for in the shower house
• Sunscreen – Waterproof with good SPF
• Baseball cap/bandana
• Water bottle

ME & MY GAL CONFIRMATION

 

We are delighted that you and your camper will be joining us for the Me & My Gal session at Camp Libbey. Your safety and welfare are always our primary concern. We hope you are as excited about camp as we are. Please read the enclosed information carefully and save it for future reference.

Arrival for Me & My Gal

Please plan to arrive at the times listed below. Please try not to arrive early as staff will still be preparing for your session.

Check-in 3:00-4:00   Building Units   Pink Paperwork

Upon arrival you will proceed to Parking Lot A where staff members will greet you, give you your housing assignment and help unload your luggage. Once your luggage is unloaded you will be directed to parking lot B to park. Please remember to back into parking spaces. The maintenance staff will transport the luggage to your unit when the majority of people have arrived. You may opt to carry your sleeping gear back to the unit with you so you can claim a bed as the rest of your luggage could be delayed.

Check-In

Once you park your car, proceed to the front porch of the office building to begin the check-in process.

At this time we will provide you with a detailed schedule and collect paperwork. Paperwork to be collected will include:
Health Forms (Sections A-D filled out) for each participant including adults
ACE Release Form for each participant including adults
Horse Release Form (If signed up for Camp Rider or Ponytails only)
Camper & Adult Release/High Risk Form

If you check-in after 6 p.m. you will need to park your car in Parking Lot B, if full proceed to Parking Lot A. Then walk down to the dining hall to check-in with staff. A formal welcome and picnic will be at 6 p.m. to kick-off the weekend activities.

Unit Placement

“Which unit (living area) will we live in?” and “will we be with our friends?” are the most frequently asked questions. Unit placements will be available only when you arrive for check-in. If you would like to be placed in a unit with friends please contact the Camp Libbey office no later than June 13th. You may send an e-mail to clibbey@mvgsc.org  subject: Me & My Gal Housing or call us at the above numbers. Late requests can not be honored so plan ahead.

You and your camper will be sharing housing units with other Me & My Gal pairs. In a tent unit you will be in a tent with another Me & My Gal pair and we ask that pairs sleep on the same side of the tent. In building units with bunk beds we recommend adults be in bottom bunks and campers will be in top bunks.

Check-out

Check-out will be at approximately 7 p.m. after dinner is finished on Saturday evening. A designated time will be determined for luggage transportation by Camp staff. Anyone leaving early, wishing to pack up early or are unprepared at their designated time will have to walk their luggage out to their own vehicles.

Meals

We will provide 4 meals and a Friday night snack during this program. We will start with a picnic on Friday night and provide 3 meals on Saturday, ending with a nice dinner. If you or your camper has any food allergies please contact the camp office more than two weeks in advance so that we can accommodate those needs easily.

Refrigerators are available in each unit. If you would like to bring something extra please keep it in the designated refrigerator and not in your sleeping area or tent.

Staff/Supervision

The camp staff will be available to help lead activities. You will be responsible for supervising your campers at all times. If you are participating in Camp Rider with your camper please keep in mind that we will not provide supervision for younger girls who cannot ride.

Health Care

Our goal is to provide a safe, healthy environment. All of our staff are First Aid/CPR and AED certified and our Health Supervisor (A local Doctor) is on call daily. We use the emergency services at the Defiance Hospital or Defiance Clinic in Defiance. The “Gal” or adult in charge is responsible for minor first-aid and medication distribution.

Smoking/Alcohol Policy

The use of tobacco products where girls are present is not permitted. There will be no smoking in any camp buildings. There is an established smoking area at camp behind the Dining Hall that may be used. At no time should smoking take place in front of girls. Alcohol of any kind is prohibited and should not be brought onto the camp grounds.

Trading Post

The Trading Post will be open on Friday during check-in and at a designated time on Saturday (check your schedule once you arrive). Campers can use their cookie dough in the Trading Post to purchase a wide variety of camp souvenirs and memorabilia. Most items range in price from $1.00 to $25.00 for things from bracelets, pencils, patches to t-shirts, sweatshirts and more.

Horses

Camper Rider and Pony Tail riders will be assigned a specific riding time during the event. We ask that you are prepared and arrive at the corral 15 minutes prior to your scheduled riding time, dressed in long pants and shoes with a ½ inch heel. Helmets are provided for you by the camp and all rides are supervised by trained, qualified riding staff. All participants must sign a Horseback Riding Release at check-in or you will not be allowed to ride

After unloading you will need to move your car back to the main parking lot (A or B) to park. You may carry your gear to the unit if you wish.

Arrival & Check-In for Workshops

Check-in begins at 9:30 a.m. for both workshops Please try not to arrive early as staff will still be preparing for your session. Upon arrival at camp please pull into PARKING LOT B and back into a parking space. Staff members will be there to greet you. All forms will be collected at this time. Any forms that are missing will have to be filled out that morning before a parent can leave. If your camper is arriving with someone else please make sure that all forms are complete.

ANY adult arriving who is not on the Transportation Card (this includes the parents) or without proper identification will not be allowed to pick up the camper.

Parents Staying

This is one of those programs that parents and/or troop leaders do not have to stay for. We provide the appropriate ratio of staff for this program so girls can be dropped off and picked up at the end of the program.

Adults are welcome to bring cameras and take pictures and hang out. Please, be aware that due to other groups on camp at the time of the program you will have to stay at the coral, you will not be able to just take a walk around camp. However, you can visit the camp Trading Post and purchase the badge that they will be earning during this workshop.

What to Bring
Campers should pack all of their items into a backpack or duffel bag to avoid loosing items. Each camper needs to bring the following items:

 Sack Lunch with Drink
 Long pants (for riding)
 Shorts (to change into after riding)
 Boots/shoes with ½ inch heel (mandatory)
Must be closed toe/top shoes. No part of the foot can be exposed
 Tennis shoes (for non-riding times)
 Insect repellent (non-aerosol)
 Baseball Cap/bandana
 Rain gear (if needed)(button or zip-up – NO PONCHOS)

Health Care

Our goal is to provide a safe, healthy environment. All of our staff are First Aid/CPR and AED certified and our Health Supervisor (A local Doctor) is on call daily. We use the emergency services at the Defiance Hospital or Defiance Clinic in Defiance.

MEDICATIONS

If your child must receive medication during the day, please send the medication in its original container with her name, physician’s name, and dosage. The container must be signed out prior to leaving camp at the end of the day.

SEVERE WEATHER PROCEDURES

Everyone will want to dress for the weather as we will ride rain or shine. If it is raining girls will want to bring a button/zip up rain coats. Rain ponchos can not be worn as they will flap in the wind and scare horses.

In the event of a sudden severe storm, the girls will be moved into storm shelters at camp. During severe weather, we will not be answering the telephone! Our first concern is the campers and their safety! If you call and do not get an answer, please DO NOT get into your car and drive to camp! DO NOT put yourself at risk! Leave a message and we will call you back as soon as we can.

CHECK-IN PROCEDURES

Monday Check-In: On Monday morning check-in will begin at 8 a.m. Please, plan to spend about 30 minutes checking your camper into camp. When you arrive at camp, park in either parking lots A or B and proceed to the camp office building to check-in. At this time we will collect all of the campers forms listed above and all prescription/OTC medications that need to be distributed.

Tuesday-Friday Check-In: Pull into Parking Lot A and drop your child off with their unit leaders.

CHECK-OUT PROCEDURES

CHECK OUT is at 5:30 p.m. in parking lot A. Adults arriving early will be asked to wait in the parking lot until staff arrive to check photo ID’s.

ABSENT CAMPERS

If your camper will not be at camp, it would be helpful if a parent/guardian would call the camp and notify the camp. We will not call to confirm her absence.

PROGRAM SCHEDULE

Campers are placed in small groups called “Units” according to grade with counselors who help them plan activities for the week. Day-to-day activities will vary; campers will do arts and crafts, nature activities, play games, and swim daily and much more.

CAMP IS HELD RAIN OR SHINE, SO PLEASE HAVE YOUR CHILD DRESS APPROPRIATELY FOR THE WEATHER.

WHAT CAMPERS SHOULD BRING EACH DAY

 Rain Gear (An umbrella is not enough – rain coats are necessary)

 Hat (optional at parents’/guardians’ discretion)

** The above items should be packed in a backpack or tote bag that a camper can carry.
** Campers might do nature activities in the creek or need special supplies – we will send a notice home informing parents of special items needed during the week.

Camp program continues on rainy days. BE SURE TO bring a hooded raincoat or jacket. (Even if it is sunny in the morning, the weather can change rapidly.) In the event of a sudden severe storm, the girls will be moved into storm shelters at camp.

During severe weather, we will not be answering the telephone! Our first concern is the campers and their safety! If you call and do not get an answer, please DO NOT get into your car and drive to camp! DO NOT put yourself at risk! Leave a message and we will call you back as soon as we can.

SPECIAL NEEDS

Campers with various needs can have a positive camp experience if the Camp Administrator and their staff know in advance. If your camper has any special physical, emotional, or medical needs, please contact the Camp Administrator or Outdoor Program Manager at 419-784-5888 or 800-356-1447.

CAMPER BEHAVIOR

Our staff works hard to help every child feel safe and have a positive experience. We cannot, however, allow an individual’s behavior to compromise the positive experience of the group. We will make every effort to work with you and the camper to correct the behavior; however, a child who runs away or physically or verbally abuses campers or staff will be asked to leave. If you have any concerns about your child’s behavior, please call and help us help your camper succeed.

We are very excited to have the opportunity to provide a fun, safe and exciting camping experience for your camper this summer! I wanted to take this opportunity to share some information with you that will make the check-in and check-out procedures at camp as simple as possible this season. At camp we subscribe to the highest ideals of safety and security. We have made changes to some of the procedures so please take a moment and read through this letter and familiarize yourself them.

In this packet you will find several forms that need to be completed. Several of these forms need to be mailed in prior to camp and some are not accepted until check-in day. Here is a helpful breakdown for you:

If on check-in day any forms are missing that should have been sent early you will be required to fill them out prior to checking-in. We are sorry if this creates any inconvenience. We can not be held responsible, due to postal service error, for any forms that did not arrive in the mail. DO NOT MAIL CAMPER HEALTH FORM, BRING IT ON CHECK-IN DAY! This will eliminate the possibility of it getting lost in the mail.

Check-in day is busy here at camp and Check-in Times are assigned. We do this in an effort to keep things running as smoothly and efficiently as possible. Your cooperation in following these scheduled times are important, as you can not check-in early. If you have two campers to check-in we recommend checking them both in at the later assigned time. You may certainly arrive at the earlier time however, you will end up going through the check-in process twice, as your second camper will not be able to check in until her assigned time.

The Camper Health Form is one of the most important forms that you bring to camp. It is important to make an appointment with your physician as early as possible. All campers must fill out sections A-D every year, however section E is good for 24 months as long as the camper has not experienced any major health issues during that time. Parents are responsible for making copies of the health form and submitting one for each session their camper is attending. Camp will not pull health forms from previous sessions or years for your camper. If you are using a school, CYO or other physical make sure it contains ALL of the information required in section E of the Camp Health Form. This includes the physical exam box, immunization record, prescribed medications and health recommendations. If any of that information is not included it will not be accepted.

The Check-Out Procedures are for your safety and the safety of the campers. It is important to take the time to read procedures and how it will affect you. Check-out is still Friday between 5-6 p.m. for full week sessions and mini sessions ending on Friday. Check out for a mini session ending on Tuesday is also between 5-6 p.m. Adults picking up the campers will not be able to arrive on camp prior to 4:45 p.m. as the front gate will be closed until this time.

Early Departures must be picked up from camp prior to 3 p.m. on the last day of the session. If you require an early departure from camp you must fill out an early departure card at check in and leave it at the forms table. If an early departure becomes necessary during the session, contact the camp office as soon as possible by phone and we will also ask that you follow it up in writing by e-mail or fax. This is for verification purposes and for the safety of your camper.

At the front gate transportation releases will be checked as well as the adult’s picture identification. Once their identification has been checked and confirmed they will be given a badge that will have to be turned in to the counselor prior to being able to remove the camper from the area. Any adult arriving who is not on the transportation release card (this includes the parents) or without proper identification will not be allowed to pick up the camper.
